Till close
At the end of the day (or shift), each till — or each store — makes its till close (fecho de caixa) from the zrsPOS tile. The close adds up the certified documents issued since the previous close, shows the cash that should be in the drawer, compares it with what was counted, and checks that every POS sale has exactly one invoice and every refund a credit note. A close is kept for good and cannot be changed.
At the till
zrsPOS tile → Close tab.
- Look at the open period: from this till's last close (or, the first time, from midnight today, Lisbon time) until now.
- Check the figures: documents by type (FS, FR, NRE…), the total per payment method as SAGE recorded it, and the cash taken and given back.
- If your shop counts cash at the till, count the drawer and type the amount (and, if you like, the float it started with). The difference shows straight away.
- Tap Close the till and confirm. If the connection fails and you tap again, zrsPOS returns the close it already stored — it never records two.
- After closing you can tap Print summary: a non-fiscal slip comes out at this till's printer, with the totals, the cash and anything still unissued.
If any sale or refund has no document, the close says which and why (failed, on its way, never queued). Never repeat a sale: deal with it in Queue & errors. You can still close — it is recorded in the close.
What the close checks
| Check | What it means |
|---|---|
| Sales without an invoice | A POS sale of this period with no document: sending it to SAGE failed, it is still on its way, or it was never queued. |
| Refunds without a credit note | A refund of this period with no NRE/NC. |
| Invoiced more than once | An order with two sale invoices (exchange invoices do not count — they are separate documents). |
| Documents from earlier periods | A sale from before this period whose document was only issued now (recovered). It counts in this close, because that is when SAGE has it. |
Cash: two views, on purpose
- As in SAGE — every document with the payment method SAGE recorded; credit notes negative; vouchers (store credit, a credit note spent on an exchange) apart, never as cash.
- The drawer — the money that really moved, when it moved (the sale, the refund, the exchange), not when the document was issued: on an exchange only the difference paid or the change given counts; on a refund, the money given back in cash; on a split payment (cash + card, or store credit + cash), only the cash part. A sale made a second before the close counts in this close; its document, issued seconds later, shows in the next close as a document from an earlier period.
The two can differ (SAGE books an exchange's credit note on the original sale's payment method, even though no money leaves the drawer). The close explains the difference. Expected cash is the opening float + the drawer's cash (+ cash in and out, when they come from Shopify), and includes cash sales still without a document: the money is in the drawer.
When the close cannot be sure — a split payment whose cash part could not be read, an exchange whose money could not be read yet — it warns in plain words and does not count that money yet. It never guesses: a close is kept for good. An exchange's money is never lost: a close that could not count it lists it as pending, and the next close of that store counts it once the money can be read, saying the day it was taken.
Per till: what stays out
When each till closes its own, sales are recognised by the till's register number and refunds by the device. The difference paid on an exchange is counted at the till that took it (Shopify records the device on the payment). An exchange where no money went through a till (an even exchange) does not say which till made it: it shows in the till's close as no till named and counts in the per-store close. If the device's register number is unknown, the per-till close is refused: open the Printer tab once on that device, or close per store.
A return refunded at this store but restocked at another counts at this store (where the money left); its credit note is in the other store's série and the close says so.
Sales without a document because zrsPOS was not live yet, was paused, or the licence did not allow issuing show as not issued by decision, not as errors.
Settings (admin → Till close)
- Who closes — each till closes its own (one close per POS device) or one close per store (every till together, from any of them). It can only change on a day with no close yet: switching mid-day would count part of the day twice.
- Counted cash
- Typed at the till — staff count and type the amount (the default).
- From Shopify POS's cash drawer — the opening float, cash in and out and the count come from the cash session staff close in Shopify POS. It works with one zrsPOS close per Shopify session: close the drawer in Shopify POS first, then the till in zrsPOS. If the session is still open, or a zrsPOS close was already made inside it, the till asks for the typed count. It needs Shopify's cash tracking permission; until it is granted the admin says so and the count is typed at the till.
- Not counted — the close shows the expected figure only.
- Send each close to SAGE — not available yet. SAGE has the FCX "Fecho de caixa" document, but the format to create it through the API has not been confirmed by the SAGE API vendor. Closes are kept in zrsPOS; sending them to SAGE comes in a later version.
- SAGE tills — the SAGE till (TillID, e.g. 001) of each store or till, kept for when sending to SAGE exists.
- Cash tenders — usually nothing to do: zrsPOS uses the tender
cashpoints to on Payments and the ones SAGE marks as cash. - E-mail the summary — optional: the address that receives every close.
The same screen shows the history of every close (date, store/till, totals, difference, warnings) and opens each one in full. If a till could not close, you can close it from there.
App permissions
The till close uses one extra Shopify permission, asked for when the app is installed or updated. When Shopify shows zrsPOS's request for new permissions, accept it. (Which till took the money paid on top of an exchange is read with the orders permission the app already has.)
- Cash tracking (read_cash_tracking) — only for shops that count cash from Shopify POS's cash drawer.
