Repairing a numbering chain
A guided task for the merchant's SAGE partner. Use it when a store's Documents & SAGE codes page, in Stores, says the numbering of a série is behind (see The série numbering needs fixing). In zrsPOS the task is under the store: Stores › the store › Repair a numbering chain.
Why it matters. SAGE gives each série and document type a counter: the number of the last document issued. If the counter is lower than the highest number already issued, SAGE tries to issue a number that exists and refuses it, with a message such as "Can't change a signable document". Every sale in that série then fails until the counter is right. Certified numbering must never repeat or go back, so this has to be repaired carefully.
How zrsPOS finds it
For every série and document type the store uses, zrsPOS compares the counter with the highest number actually issued. A counter below the highest is a broken chain. This is read-only: zrsPOS never changes a counter.
What must be true at the end
For each série and document type: counter is equal to or higher than the highest document number issued.
Steps for your Sage partner
- Note the série, the document type and the highest number issued (the store's page shows them).
- Set the counter of that série and document type to that highest number, with SAGE's own tools (your SAGE partner knows where).
- Do not edit the document type itself. Changing a live document type in Sage's configuration can move the counters of every série of that type or replace the type. Only the counter of the affected série should change.
- Issue nothing in that série until the counter is right.
Check
On the task's page in zrsPOS, press Check again. The store's série problem goes away when every counter is at or above its highest issued number.
